The birthday database that costs nothing and beats every paid loyalty tool

A spreadsheet of regulars’ birthdays and a hand-signed card outperforms every points-based loyalty scheme.

Loyalty SaaS costs $100–$400 a month and most venues use less than 15% of the features. A shared Google Sheet of regulars’ birthdays and a stack of hand-signed cards outperforms it on actual return visits.

Capture method

Train front-of-house to ask once per visit, casually: “If we wanted to send you a birthday treat next year, what month is it?” Month and first name is enough. Most regulars give the day too.

Send method

First Monday of each month, owner spends 15 minutes writing cards to the birthday list for that month. Hand-signed. “$20 on the house for your birthday week — booking link inside.”

The numbers

Expect 60–75% of cards to be redeemed within 30 days, and the average bill on that visit to be 2.4× the $20 voucher. It compounds because the second-year repeat rate is 80%+.
